The Abdul Latif Jameel Poverty Action Lab (J-PAL) is a research center globally headquartered within the Economics Department at MIT. J-PAL’s mission is to ensure that policy is informed by scientific evidence. J-PAL Southeast Asia (J-PAL SEA), based at the Institute for Economic and Social Research at the Faculty of Economics and Business at the University of Indonesia (LPEM FEB UI) in Jakarta, is one of seven independent regional offices hosted at leading universities around the world. J-PAL Southeast Asia conducts randomized evaluations, builds partnerships for evidence-informed policymaking, and helps partners scale up effective programs. Our work spans a wide range of sectors, including social welfare, migration, health, good governance, and financial inclusion. We conduct capacity-building activities for policymakers, researchers, and academics seeking to learn and apply rigorous impact evaluation, and work with central and local governments to help build a culture of evidence-informed decision-making in the region.

J-PAL SEA seeks a qualified applicant for the Senior HR and Operations Associate position. The Senior HR and Operations Associate will support the HR and Operations work under the direction of the Associate Director of Finance & Operations. This position plays a key role in ensuring the effectiveness and efficiency of the HR Management and and the operational management of J-PAL SEA. It is expected that the Senior HR and Operations Associate have experience in HR function and have a strong understanding of HR Regulation and its implementation in Indonesia, legal, procurement and event organizer, and office operational management. Knowledge and experience surrounding the operational management of research implementation, and a supervisory role is a plus.

 

The responsibilities include (but are not limited to):

  • Human Resources
  • Organization development: Drive a broad range of HR solutions and processes to meet the evolving needs of organization’s development;
  • Personnel Management: Support the AD FO in the Human Resource Management, including recruiting new staff, staff on-boarding, performance review, updating the system in the Salesforce, and managing intern;
  • Benefit Management: Administer health and welfare plans, including enrollments, changes and terminations. Process required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions;
  • Contribute to or take the lead in other HR work.
  • Office Operations:
  • Administration: Maintain a central filing system, inventory of office asset, and oversee the maintenance of the office equipment and its facilities;
  • Office Policy and Guideline: Support the development of the office policy and guideline;
  • Travel Management and Office Operations Management;
  • Contact and Vendor management: Lead the procurement process, including hiring vendor, survey and implementation company, and other processes to support the business operations of J-PAL SEA.
  • Verticals’ Support:
  • Event planning: In a close coordination with the Policy and the Research team, the Senior HR and Operations Associate will provide the logistical support (invitations, catering, AV, facilities, materials preparation, accommodations) as needed for a wide range of trainings, dissemination of the research results, randomized evaluations workshops or webinars;
  • In a close coordination with the Policy and Research Vertical, to support a wide range of activities including the research operations management, etc.

 Qualifications

  • Education: A Bachelor’s or Master’s degree (Psychology, Management, Communications, Law, and other related fields). Knowledge of and experience in supporting administration/operational of a research institution or international organization is a plus.
  • Experience: This position requires a minimum of 3 years of relevant experience.
  • Analytical thinking: Able to display analytical thinking in writing, executing tasks, and applying regulations, policies and guidelines for the general office operations and protection of human subjects.
  • Communication: Attention to detail, clear, precise, in articulating the procedure and regulations.
  • Work Management: Proven ability to handle several different projects/tasks at one time, successfully complete tasks assigned, and meet deadlines. A willingness to work hard, be self-motivated and learn will be essential for doing well in this position.
  • Languages: Ability to write and speak fluently in Bahasa Indonesia and English.
  • Orientation to Details: Strong ability to manage a time-sensitive workflow while maintaining absolute accuracy with details.
